A fleet of 10 vehicles with an average monthly maintenance cost of MWK 500,000 might have two vehicles each costing MWK 1,200,000 and eight vehicles averaging MWK 325,000. Strategy 3: Enforce Tyre Pressure Discipline

Tyres running at 20 percent below recommended pressure increase fuel consumption by 3 to 5 percent and reduce tyre life by up to 25 percent. For a large fleet, enforcing weekly tyre pressure checks and making drivers accountable for their vehicle's tyre condition pays measurably for itself within months.

Strategy 4: Source Parts from Verified Suppliers Only

The short-term cost saving on a cheaper part that fails prematurely — or causes consequential damage when it fails — is always negative in total terms. Establish a single verified parts supplier relationship and eliminate ad-hoc sourcing from unverified sources.

Strategy 5: Implement Driver Accountability for Fuel Consumption

Fuel consumption per kilometre varies significantly between drivers operating the same vehicle on the same routes, due to driving behaviour. Tracking fuel consumption by driver — and communicating the data to drivers — produces measurable fuel savings without any mechanical intervention.

Strategy 6: Schedule Maintenance Around Operational Peaks

A vehicle off the road for maintenance during a peak period costs the maintenance cost plus the lost revenue. Planning maintenance windows during lower-demand periods reduces the operational impact of the same maintenance spend.

Strategy 7: Replace High-Cost Vehicles at the Right Time

A vehicle whose total cost of ownership has crossed the replacement threshold — where its annual operating cost exceeds the annual cost of a replacement — is actively destroying value every month it continues in the fleet. TCO analysis (see Blog 31) identifies this point before it becomes obvious.

Strategy 8: Use Air Filter and Fuel Filter Replacement as a Priority, Not a Luxury

Clean filters protect the most expensive engine components at minimal cost. The cost ratio between filter replacement and the engine repair that a failed filter prevents is typically 1:50 or higher in Malawi.

Strategy 9: Train Drivers in Vehicle Handling

Hard braking, aggressive acceleration, and overloading are the three driver behaviours that most accelerate vehicle wear. A half-day training session on vehicle-sympathetic driving, combined with measurement accountability, produces lasting reductions in tyre wear, brake wear, and fuel consumption.

Strategy 10: Negotiate Volume Parts Pricing with Your Supplier

Fleet operators purchasing parts regularly have leverage to negotiate volume pricing and priority service that individual purchasers do not. A fleet of 10 or more vehicles represents a significant parts account — use that volume to negotiate better terms.
