Step 1: Create Your Fleet Register

Step 2: Set Your Service Intervals for Malawi

Step 4: Assign Responsibility

A maintenance schedule with no owner is a document, not a system. Assign a specific individual — fleet manager, operations manager, or owner — the responsibility of checking the maintenance register weekly, scheduling upcoming service actions, and confirming that completed actions have been recorded. Accountability is the bridge between a maintenance plan on paper and maintenance that actually happens.

Step 5: Track Costs by Vehicle

A maintenance schedule that does not track costs by vehicle cannot tell you which vehicles in your fleet are consuming disproportionate maintenance resources. The vehicle with the highest repair cost relative to its operational output may be due for replacement rather than continued maintenance. Cost tracking per vehicle — parts, labour, downtime — makes this analysis possible and prevents the common mistake of continuing to invest in a vehicle that has become a liability.

Step 6: Review and Adjust Quarterly

Fleet conditions change. A route that was paved gets deteriorated. A driver changes. A vehicle is reassigned to a different duty cycle. Review your maintenance schedule quarterly against actual performance data and adjust intervals, priorities, and replacement planning accordingly.
